Customer service is where the promises on your website meet an individual customer’s situation.
Be clear, considerate, and useful
Provide a dependable route for Japanese-language enquiries. Use appropriate, respectful language and explain the next step plainly. A polished greeting cannot compensate for an answer that does not resolve the question.
Give the team ownership
Decide who handles delivery delays, damaged goods, refunds, and supplier escalation. Make order information available to the person responding. Publish service hours or response expectations that your team can maintain.
When a problem takes time to investigate, acknowledge it and explain when the customer can expect an update. Follow through on that commitment, even if the final answer is still pending.
Connect support to the rest of the business
Repeated questions often point to an unclear page, an unreliable supplier, or a missing message. Review these patterns regularly with marketing and operations. Good support resolves the immediate issue and helps prevent the next one.
